Use the original sender's name in your auto-reply, attach different files based on the words in their subject or message body – or show their original 'To:' address as your sender, even if their message ended up in a group mailbox anyway.
Auto Responder comes with pre-built templates so you don't have to configure it all yourself either: just select the kind of auto-reply you need and relax.
Anything Exchange sees can form the basis of a rule – like an inbound email containing a certain string, 'JobVacancy#7844', or an outgoing email from a certain sender, say a new employee still in their probationary period.
Use conditions and exceptions with 'and' and 'or' operators to decide whether one, all or a few of the parameters must be true – or false. It's the ability to change anything in any email, based on any data – made simple.
We can alter everything – from header contents to 'From:' address – no matter who sent it: your staff, an external contact or even Auto Responder's auto-reply feature.
It's not just about customizing an auto-reply, we can customize user-sent mail too – altering, say, the 'From:' address to display a team mailbox, 'techsupport@', rather than a personalized one, 'Karen.Green@'.
Handle personnel changes without fuss, just change the 'To:' address on all email to match the new employee's address – or just add another one, if they've moved internally, so both can still see it.
There's a range of tools available for the exact type of redirect you're looking for – even add a 'BCC' address to monitor someone's email.
Have us alter the address on every email, sent or received, to match your new domain: so nobody using the old one gets overlooked and nobody using the new one gets confused about which is correct.
An auto-reply can notify contacts of the new address and auto-attach a vCard for them to import all the details for your new domain in a click.
Rules and responses combine to create policies. You can create as many policies as you need and multiple policies can be applied to a single email giving you infinite possibilities
You can opt for any policy to only apply for a specific date or time range. So, if your customer service team gets an email outside of their opening hours, they can let the sender know immediately when to expect a response.
Give the legal team an out-of-hours auto-reply – but use an internal version if the sender is inside your organization and skip it altogether if the sender is in the legal team.
It also means you don't have to create individual rules for each group member, just one for the whole group.
You might have two very similar auto-replies but you don't want both of them sent – or maybe you only want an email to be forwarded to one user if it's already been forwarded to another.
Use our 'Next Policy' feature to decide whether it will only activate once another rule has been triggered or whether it should stand down if that first policy has already been processed – and ensure the logic flows correctly in our 'Policy Tester'.
However many policies you create, you’ll want to check they work just how you imagined before you deploy. Our policy tester provides a graphical interface of exactly what will happen in any scenario and why.
You get a clear diagram that’s great for checking your logic and a picture of what emails get generated and modified and how they look at each stage.
First, you can use the 'Policy Tester' to make sure no loops can arise from the whole network of rules you may have created.
Then automate it with the loop prevention tool: set the software to send no more than two of the same email in an hour, or use whatever time limit and message threshold you want.
